Harvest Craft Fair Job Descriptions–which is right for you?

Dear Members and Friends of First Parish of Sudbury,

Our Annual Harvest Craft Fair is celebrating its 115th year this October 15.  This festive event serves many purposes for our First Parish and Metrowest community.  It draws over 600 people to our property every year.  It allows the community to shop for and purchase handmade crafts from 60 juried vendors every year.  It serves as a major fundraiser for First Parish, netting an average of $8500 per year.  It’s also a great opportunity to work with fellow parishioners, make an impact throughout the community and It’s FUN! For these reasons – and more – the ongoing success of the Harvest Fair is important to First Parish.

Looking forward to 2017, the current team is recruiting new members who will have the opportunity to learn the ropes this year.  See what appeals to you! This team of people typically meet starting in August with the Vendor Selection Team and their work concludes at the end of the Fair.”

Vendor Selection Team.   Two people are needed to review the applications of the vendors and select which ones will be accepted.  This team will meet for a few hours in May to review the applications received by the first deadline and for a few hours in August to review the late applications.   In addition to selecting the vendors, this team will assign the booths for the vendors.  At least one member of this team should be available the night before the Fair to help the vendors get to their booths.  One member should be available on the day of the Fair, again to assist the vendors get set up and answer questions as they arise during the course of the day.

Facilities Team.  Two people are needed to ready First Parish for the Fair.  This includes enlisting and managing volunteers, laying out the booth spaces, and coordinating the police detail and obtaining saw horses from the DPW.  At least one member of this team should be available the night before the Fair to coordinate the volunteers during set up.   One member should be available on the day of the Fair, to assist the vendors get set up and answer questions as they arise during the course of the day.

Marketing Team.   Two people are needed to coordinate the marketing of the Fair during the weeks before the Fair.  This includes making sure there are enough road and pole signs, distributing and posting the signs before the Fair in Sudbury and the surrounding communities, and retrieving the signs the day after the Fair.

Treasurer.  One person is needed to collect and count the money on the day of the Fair.

Kitchen supervisor.  One person is needed to coordinate the volunteers who make the soups and bread before the Fair and serving the lunch at the Fair.

First Parish has been hosting this Fair for 115 years.  You will not have to reinvent the wheel!  Just follow the course that has been laid out.  And, if you sign up now, you can get on the job training!
